Budgeting

Please see ILA Fiscal Policy 6080 General Reimbursement & Billing Policies regarding committee and forum budgets; proposed workshop budgets above the regular allocated amount must be approved ahead of time by the ILA Executive Director. Five months' lead time is requested.

A sample workshop budgeting sheet is available for guidance.

Registration fees will be set once all expenses are budgeted. 

All workshops are to be budgeted to break-even, which includes at least a 10% net revenue to cover administrative costs. 

Workshop net revenue is part of the ILA operating revenue.

All bills not must be sent by vendors to the ILA office within thirty days of the event. Attachment of all receipts is necessary for reimbursement of any pre-approved expenses paid for by members

Registration

ILA staff will create the online registration process for workshops, following budget approval. 

Once the workshop registration price is set and publicized, it will not be changed.

Any individual refunds will be made after the workshop is held. The following deadlines will be adhered to and must be stated on all registration forms:

  • 100 percent refunds for cancellations submitted in writing by registration deadline;
  • 50 percent refunds for cancellations submitted in writing one week prior to the event;
  • No refund for cancellations made less than one week prior to the event.

Cancellation of a workshop must be done by the workshop organizer in collaboration with ILA staff. ILA staff will handle notification and refunds.

ILA staff will create name badges. Workshop organizer must notify the ILA office as to name badges for non-attendees (speakers, guests, etc.).

ILA staff will provide regular registration updates to workshop organizers.

Promotion

ILA staff will promote workshops in the ILA Alert e-newsletter, on social media, on the ILA website, and as time allows, in the ILA Reporter (three-month lead time for print).

For publicity purposes, all program copy must be received prior to opening registration, including speaker photos if any.

Committee and forum members are encouraged to promote workshops among your networks as well.
