Job Summary

This position serves as the primary basic Lending processor matching requested campus library materials with requests from external libraries and providing basic customer service to the requesting institutions.

Duties & Responsibilities

Lending Request Processing

  • Processes searches and orders online requests.
  • Locate and verify catalog records and bibliographic holdings.
  • Performs searches for requests using appropriate bibliographic tools.
  • Update central database record status.
  • Investigates and determines requests that need specialized searching.
  • Process all ALA requests going to lenders who do not use OCLC.
  • Identify e-resource accessibility issues with electronic resource databases and report as needed.
  • Cancel requests when no match in bibliographic or holdings items are available.
  • Approve international loan and photocopy requests prior to filling.
  • Notify requesting libraries of issues which may be resolved to see request to fulfillment.
  • Perform advanced circulation functions (including placing holds/call slips/recalls and blocking patrons).
  • Maintain multiple sets of patron records within Alma for inhouse use to track interlibrary loans.

ILL Borrowing Processing

  • Distribute any enclosed invoices as necessary.
  • Performs searches and updates incoming Borrowing requests in ILLiad.
  • Process loan material for Circulation Desk.
  • Maintain patron email notifications.

Lending Duties

  • Scan updated materials to fill requests.
  • Updated photocopy requests on Alma/Primo and ILL management System (ILLiad).

Customer Service

  • Instruct users in electronic form input.
  • Explain ILL options.
  • Provide institutions with item status.
  • Distribute guides.
  • Maintain patron confidentiality.
  • Provide help with directional questions.
  • Identify and resolve loan Problems.

DocExpress Service

  • Process incoming DocExpress orders.
  • Performs searches in UIUC Catalog for availability.
  • Scan and send articles requested.
  • Provides training to students in ILL work routines.
  • Answer questions pertaining to citation and request problems.
  • Train students to process returns.
  • Instructs students in loan processing.
  • Direct students learning scanning.
  • Teach students in updating requests.

Additional duties

  • Troubleshooting: Track, investigate, and resolve requests for status updates.
  • Consulting with Library Preservation Services on item repairs or stabilization problems.
  • Other duties as assigned.

Requirements

Minimum Qualifications

  • 30 semester hours equals on (1) year (12 months)
  • Associate's Degree (60 semester hours) equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)
  • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)

Knowledge, Skills and Abilities

  • Understanding of library cataloging systems, knowledge of AARC2 and RDA cataloging formats, familiarity with Worldcat, and understanding of library terminology.
  • Ability to implement library policies and procedures.
  • Knowledge of customer service skills.
  • Ability to use scanning and digitization technology including physical manipulation of items in addition to electronic manipulation using various hardware and software programs.

Appointment Information

This is a 100% full-time Civil Service Non-Exempt Library Specialist position, appointed on a permanent basis. The expected start date is as soon as possible after close of the search. Annual Salary is $44,167.50.
